Job Description

 

The Accounts Payable Specialist is responsible for processing and tracking account payable and purchase orders.  Is also responsible for performing internal audits and branch procedures and assists with general accounting input and audits.

JOB RESPONSBILITIES

  • Manages the daily operations of accounts payable position including invoice coding and account reconciliation

 

  • Receives, prepares and distributes invoices and purchase orders to and from staff and departments for payment approval

 

  • Inputs data into accounts payable module 

 

  • Produces check run and prepares checks for signature and mailing

 

  • Answers inquiries from vendors and staff concerning payables

 

  • Assists with auditing and managing approved vendor list.  Includes verifying and maintaining terms, contracts and pricing

 

  • Maintains, organizes and files departmental records, correspondence and reports

 

  • Prepares year end 1099 tax forms and submits to Accounting Manager for review and approval

 

  • Makes daily bank deposit

 

  • Assists in performing internal audits of Branch procedures.

 

  • Reviews, tracks and processes grant and construction progress billings

 

  • Trains staff on using Accounts Payable system, including uploading and coding receipts as well as general coding for expenses

 

  • Assists with exploring ways to make Accounts Payable more efficient

 

  • Organizes, checks out and tracks return of cell phones, credit cards, etc. for all staff and vehicles

 

  • Encourages BGCAZ “Rules of Engagement” and incorporates into day to day interactions with staff  

 

EDUCATION and/or EXPERIENCE, LICENSURE and CERTIFICATION

  • Minimum of 1 year accounts payable experience

KNOWLEDGE, ABILITY and SKILLS

  • Highly detail oriented
  • Demonstrated ability to plan, organize, coordinate and direct multiple activities with varied deadlines and deliver in a     timely manner
  • Exceptional interpersonal skills with the ability to interact effectively while demonstrating emotional intelligence in a confidential setting.

 

WORKING CONDITIONS and DRIVING

  • Work is performed in our Program Services Center-Administrative offices
